CORE TERMS (for All Headshot Sessions)

1. Payment & Booking

• A 50% deposit is required to book a session. Deposits are non-refundable but may be transferred to a new date if rescheduled at least 48 hours in advance.

• The remaining balance is due before delivery of finished headshots unless other payment arrangements have been made.

• Zero percent sales tax on photography services.

• Accepted payments: Wix Payments, PayPal, Venmo or check.

2. Cancellations & Rescheduling

• Cancellations must be made in writing via email. Refunds are issued based on the following schedule:

• 30 days before the session: 100% refund

• 7-30 days before the session: 50% refund

• 3-6 days before the session: 25% refund

• 3 days or less: No refund

• No-call/no-show = session forfeited, no refund.

• Rescheduling may be available at no additional cost if requested at least 48 hours in advance. If a session is canceled due to unforeseen circumstances on the part of TrueYou Headshots, the client will be offered a full refund or a rescheduled session at no additional cost.

3. Image Delivery & Usage Rights

• Edited images will be delivered within 5-7 business days via an online gallery. The edited images are JPEG format. RAW or unedited files are not included as part of this agreement. These images are sized to work well on websites.

• The client has personal and business use rights, but TrueYou Headshots retains the copyright. Images may not be resold or edited without permission.

4. Liability & Satisfaction

• TrueYou Headshots is not responsible for unforeseen circumstances (e.g., weather, technical failure) but will work to reschedule if needed.

• Due to the nature of custom photography, all sales are final.

SESSION TYPE INFORMATION

 Individual Session

• Includes a professional headshot session at a designated location.

• Reliable high-speed Wi-Fi required at headshot location.

• The client will receive an online gallery to select final images.

• Additional images and retouching services may be available at an additional cost.

• If a studio shoot, the client must arrive on time. Any delays may result in reduced shooting time. If the client is more than 15 minutes late, the session may be rescheduled with a $50 rebooking fee.

Team Session

• Includes on-site headshots for multiple team members.

• A designated admin or point of contact is required for scheduling and coordination.

• Reliable high-speed Wi-Fi required at headshot location.

• Client agrees to whitelist emails from headshottools.com

• Images can be delivered to the admin or directly to individual team members, based on preference.

• All participants should arrive on time and be prepared during their scheduled window.

Event Session

• Includes on-site headshot coverage at a scheduled event. 

• Reliable high-speed Wi-Fi required at headshot location.

• AC power needed within 25’ of the setup location.  

• Client agrees to whitelist emails from headshottools.com

• A designated point of contact is required to assist with scheduling and logistics.

• Images can be delivered to the admin or directly to individual team members, based on preference.

HEADSHOT USAGE PERMISSION

After you submit this agreement, an invoice will be emailed to you for the 50% retainer. The remaining balance will be invoiced before the shoot date. No payment is required on this form.
